- Once your booking has been made and paid for, a contract is formed between all persons named on the booking form and Fiona de Lys Ltd. The contract is based on the information about our tours in our brochure or on our website (fionadelys.co.uk) and these booking conditions.
3. Payment terms
Payment for all services is required before the service begins. Each service has specific payment terms, which can be found in the relevant service section below, unless otherwise agreed in writing. This policy ensures commitment from both parties and aids in effective resource management.
4. Cancellation policy
Each service has specific cancellation terms, which can be found in the relevant service section below, unless otherwise agreed in writing. This policy allows us to manage schedules efficiently and accommodate other clients.
5. Force majeure
Fiona de Lys Ltd is not liable for cancellations or disruptions caused by events beyond our control, such as natural disasters, pandemics (including COVID-19), government restrictions, or other unforeseen circumstances. In such cases, we will strive to reschedule services or provide refunds at our discretion.
6. Liability disclaimer
Fiona de Lys Ltd is not responsible for all claims, liabilities, actions, damages, losses, costs, expenses or demands arising out of or related to your participation in any services provided, whether caused by negligence or otherwise, to the fullest extent permitted by law. Completion of our Waiver of Liability Form, which includes additional details, is required for all services. This waiver helps in clarifying the extent of our responsibility and managing expectations.

We reserve the right to process, store and share the personal data we collect with our suppliers and other third parties as we consider necessary to fulfil the contract between us and to comply with applicable law.

8. Photography and media

Clients who do not wish to appear in such media must notify us in writing prior to the event. This allows us to respect your privacy while promoting our services.
9. Amendments
Fiona de Lys Ltd reserves the right to amend these terms and conditions at any time. This ensures that our terms remain current and reflective of our business practices.
10. Intellectual property
- All content provided by Fiona De Lys Ltd, including but not limited to course materials, workshop content, presentations, worksheets, branding, and consultation materials, is the intellectual property of Fiona de Lys Ltd.

You do not acquire any ownership rights to the workshop materials by purchasing or accessing the workshop.

Photos of workshops held at Lantern Cottage are not permitted unless authorised by us in advance. Please understand that this is also a private residence.

Clients are advised to ensure their property is safeguarded during sessions or events.

Clients will ensure that the necessary PPE will be supplied to anyone representing Fiona de Lys Ltd.

Any damage caused by negligence on the part of Fiona de Lys Ltd will be assessed, and appropriate measures will be taken to address the issue.

Clients are responsible for any damage they cause to Fiona de Lys or her equipment during the service, and may be liable for repair or replacement costs.

Clients may be held responsible for any medical fees incurred because of their actions during the service.
12. Workshops

Our workshops are conducted in a Grade II listed cottage, which retains its original features and charm. While we take every precaution to ensure a safe environment, Fiona de Lys Ltd does not accept any liability for injuries, accidents, or damages that may occur while on the premises. Participants are advised to exercise caution and take personal responsibility for their safety during their visit.

Participants must adhere to the rules and guidelines set by the third-party event organiser in addition to Fiona De Lys Ltd’s terms.

Any disputes or concerns related to the third-party event must be directed to the event organiser, as Fiona De Lys Ltd is not liable for third-party event management.

Access to course materials provided during third-party events remains governed by Fiona De Lys Ltd’s intellectual property and usage policies.
13. Online self-paced courses
Online training sessions on colour theory and professional development. These sessions offer flexibility and convenience for learning from anywhere. This is in addition to our general terms and conditions, as set out in clauses 1–10.

Terms & conditions for tours
Our guided tours focus on colour, style, and design in international locations and local cultural settings. We want you to enjoy every minute of your time with us, and we’ll do our very best to ensure that it lives up to your expectations. Please spend some time reading the terms below carefully, and feel free to contact us should anything be unclear.
1. Your booking
- We both agree that English law (and no other) will apply to your contract and to any dispute, claim or other matter of any description which arises between us (claim) except as set out below. We both also agree that any claim (and whether or not involving personal injury) must be dealt with by the courts of England.
- We do not accept bookings from people under 21 years old.
- Changes to confirmed bookings sometimes must be made as we plan tours months in advance, and we reserve the right to do so. Most alterations will be insignificant, and we have the right to make these. No compensation is payable for insignificant alterations which do not entitle you to cancel or make a change to any other arrangements. Where circumstances permit, we will advise of any insignificant changes as soon as we are made aware.
2. Alterations to your booking
If you need to change any of the details of your confirmed booking, please notify us by email as soon as possible. We will always do our best to help. All requested amendments must be sent to fiona@fionadelys.co.uk by the person who made the original booking.
3. Special requests and medical conditions
- If you suffer from any medical condition, disability or significant reduction in mobility which may affect our tour schedule, please provide us with full details in writing at the time of booking.
- If you have specific dietary, accommodation and access requirements, please provide us with full details in writing at the time of booking.
- We will do our best to accommodate any special requirements that you make us aware of at the point of booking, and we will make reasonable adjustments to the content and delivery of our tour where we are practically able to.
- Unfortunately, there may be occasions where we are unable to accept your booking.
- If you make a booking and fail to tell us about your requirements which we are subsequently made aware of, we reserve the right to treat your booking as cancelled and you may be liable for cancellation charges.
4. Your travel conditions
- Where the tour you have booked involves or includes travel by air, land, or sea, such travel will be subject to the terms and conditions of the airline, ferry, cruise line, rail operator, or coach company providing the transport. These terms often limit the carrier’s liability to you in accordance with applicable laws, including relevant international conventions and regulations.
- If you are refused boarding or entry into the destination country by any transport operator or government authority, we may be unable to assist and cannot be held responsible for the impact on your tour arrangements. This includes situations where clients fail to notify us of any medical condition or disability that may affect their participation in the tour or fail to provide sufficient notice for necessary arrangements, such as assisted travel or visa requirements.
- If you are unable to travel as a result, our responsibility for your tour will cease. Full cancellation charges will apply, and we will not be obligated to provide refunds, compensation, or cover any resulting losses or expenses. However, in such circumstances, we will provide appropriate assistance without undue delay, including information on health services, local authorities, consular support, and help with alternative travel arrangements.

6. Itinerary
We will provide you with a detailed copy of the itinerary prior to the tour date. This will include comprehensive information about the tour schedule, meals provided, transportation arrangements, planned activities, and any additional services included in your booking. The itinerary is designed to ensure clarity and help you prepare for the tour, offering a clear overview of what to expect during your experience with us.
7. Accommodation
Accommodation provided during tours will be carefully selected to ensure comfort and convenience for all participants. We aim to offer accommodations that reflect the local culture and charm of the destination while meeting high standards of cleanliness and safety.
- Specific details about the accommodation, including location, amenities, and room types, will be shared with clients prior to the tour.
- Please note that room preferences, such as single or double occupancy, are subject to availability and may incur additional charges.
- If you have specific accommodation requirements or preferences, please notify us at the time of booking, and we will do our best to accommodate your needs.
8. Weather policy
Fiona de Lys Ltd acknowledges that weather conditions can impact the delivery of our services, particularly for outdoor or travel-related activities. We strive to ensure the safety and satisfaction of our clients while minimising disruptions caused by adverse weather.

- In the event of severe weather conditions (e.g. storms, heavy rain, extreme heat), outdoor activities may be rescheduled or relocated to an indoor venue where possible.
- Clients will be notified of any changes as soon as a decision is made.
Travel-related services
- Weather-related disruptions to travel arrangements, such as flight delays or cancellations, will be managed in accordance with the policies of the relevant transport providers.
- Fiona de Lys Ltd will assist clients in coordinating alternative arrangements where feasible but is not liable for additional costs incurred due to weather-related travel disruptions.

10. Payment
- All services must be paid for before the service begins, unless otherwise agreed in writing or stated below. This ensures that both parties are committed to the service arrangement and helps in managing resources effectively.
- Your booking confirmation will include an invoice showing the deposit paid and the final balance due (if full payment is not made at the time of booking). The outstanding amount must be received by us by the due date shown on the confirmation.
- We will remind you, but should we not receive payment in full by this date, we are entitled to assume that you wish to cancel your travel arrangements, in which case you will be liable to pay the cancellation charges shown in the scale set out in clause 11 of this section (Cancellation made by you) below. If you book within 90 days of departure, full payment must be made when you book.

- Cancellations made more than 60 days before the tour start date will receive a full refund.
- Cancellations made between 60 and 21 days before the tour start date will receive a 50% refund.
- Cancellations made within 21 days of the tour start date are non-refundable.
- This policy ensures effective planning and resource management for all tour arrangements.

In the rare event that we must cancel a tour due to unforeseen circumstances, we will offer clients the choice of:
- A full refund of all payments made.
- Rebooking on an alternative tour of equal value, subject to availability.
Fiona de Lys Ltd is not liable for any additional costs incurred by clients, because of the cancellation. We recommend your travel insurance to cover such expenses.
Force majeure
12. Privacy and media
- Participants may be photographed or filmed during tours. Please notify us in advance if you do not wish to be included.
- Personal information required for travel arrangements will be handled in compliance with data protection laws. This ensures respect for privacy and compliance with legal requirements.
13. Third-party responsibility
Fiona de Lys Ltd is not responsible for the actions, services, or policies of third-party providers, including transport providers, restaurants or other vendors involved in the tour. Any issues arising from third-party services must be addressed directly with the provider and will be subject to their own terms and conditions. This ensures clarity on our scope of responsibility.
14. Complaints and claims procedure
In the unlikely event that you have problems or reason to complain whilst abroad, you must report the matter to us, the hotel or other supplier immediately during your tour. The issue can then be promptly investigated and, where appropriate, steps taken to resolve the situation.
You must follow up any complaint or notification made during your tour via email within 28 days of your return home. We operate a strict code of conduct and take any complaints received seriously. If you fail to follow the requirement to report your complaint or problem whilst on the tour, we will have been deprived of the opportunity to investigate and rectify it during your time with us.
This may affect your rights under your contract, including any entitlement you may otherwise have had to claim compensation.
